ABOUT THE JOB

Provide Executive level Administrative support for 3-5 Executives across scheduling, travel bookings, expenses, special projects, and any other duties designed to improve the Executives productivity and organizational effectiveness. Support our Director of Office Experience in creating and maintaining a exciting and comfortable office environment with a goal towards ensuring the wellbeing & productivity of Zeno New York employees.

ABOUT THE JOB:

  • Be the day-to-day support for 3-5 Executives
  • Provide support to the Director of Office Experience, ensuring the smooth running of the office and set up/support with client meetings.
  • Have a keen eye for detail and a desire to excel in an essential supporting role.
  • Remain flexible and unflappable when facing dynamic workdays.
  • Possess exceptional time management and organizational skills.
  • Have a sense of urgency with the ability to prioritize and re-prioritize throughout the day.
  • Balance multiple projects simultaneously from beginning to end.
  • Manage calendars, travel, expenses and time entry for multiple executives.
  • Assist with research and compile materials and data for presentations as requested.
  • Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Occasionally make yourself available outside of normal working hours to receive calls and emails.
  • Actively contribute to the overall positive culture of the agency.
  • Assist in developing a more collaborative and engaging in-office experience to enhance our hybrid work environment.
  • Have strong proficiency MS Office Suite: Outlook. Word, Excel, and Power Point.
  • Share in front desk and reception duties along with other administrative staff, as needed.
  • This position requires a minimum of three days per week working onsite in the New York office.
  • ABOUT YOU:

  • Must be fully vaccinated against COVID-19 (i.e., at least 2 weeks after last dose) and, if hired, present proof of vaccination before start date. Candidates may request an accommodation due to a disability or sincerely held religious belief or an exception required under applicable law.
  • 4+ years of experience as an Executive Assistant within a fast-paced environment.
  • Self-motivated and committed to anticipating needs, participating in, enabling and supporting a creative culture.
  • Have an inherent service orientation, a true desire to help others, and demonstrate appropriate levels of professionalism in all interactions.
  • A person for whom no job is too big or too small.
  • A true self-starter, identifying organizational challenges and resolving them independently, and/or identifying process or structural improvements and making sensible recommendations.
  • Understand the importance of your role in creating an environment in which our employees create great work and make positive impressions on clients.
  • Exemplify a collaborative spirit.
  • Results driven with the ability to manage multiple priorities and work against deadlines.
  • Pay range: $86,000 - $111,000/year USD.

    An employee’s pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, travel requirements, revenue-based metrics, any contractual agreements, and business or organizational needs. The range listed is just one component of DJEH’s total compensation package for employees. Other rewards may include annual bonuses, a Paid Time Off policy, and region-specific benefits.
