Collabora is looking for an enthusiastic Accounts Assistant to support our busy Finance team. Working across multiple currencies and time zones, no two days are the same. You will be working within a fast paced technical company, enjoying a variety of challenging work and the opportunity to study towards an accountancy qualification if you so desire.
Main responsibilities are listed below:
Sales Ledger
Support and work with the Sales Department to ensure Finance has all required information for project reconciliation and sales invoicing (including completed new client form before sales process is finalised)
Review contracts for new and renewing clients for insurance and invoicing requirements; also ensuring compliance
Ensure Collabora is set up for clients to receive invoices (i.e.: client portal, via email, etc.)
Set up new clients in Xero, with correct currency, bank details, tax rate and invoicing template
Check sales invoices generated in CRM against recognised revenue on Ordinator/Grafana before being sent out externally
Approve sales invoices in Xero, amending dates and invoice templates where necessary
Send invoices to clients via their requested method (email, portal, etc.)
Proactive credit control – working with clients, Project Managers and the Sales Team to ensure timely payment of invoices
Customer account reconciliation and continuous review of aged debtors
Ensure USA clients have up to date W-8BEN forms, and track expiration of each one Purchase Ledger and Bank Reconciliation
Processing all purchase invoices & expenses
Supplier statement reconciliation
Set up payments via online banking systems
Reconcile multi-currency bank accounts
Input and reconcile credit cards and Pleo with card holders
Checking to ensure accurate VAT rates have been applied on purchase invoices Ad-hoc Accounts Duties and Reporting
Assist with duties during absences of other Finance staff
Additional ad-hoc duties as required Technical Skills:
Ideally studying towards a relevant accountancy qualification, or possess previous experience in a similar role
Experience in managing foreign currencies, international tax and VAT issues is desirable
Working knowledge with Xero is preferable, or equivalent accounting system
Competent IT skills, including use of spreadsheets, and comfortable navigating new systems Personal Skills:
Good numerical skills, with a demonstrable interest for accountancy
Ability to prioritise tasks while maintaining accuracy
Great attention to detail
Ability to work in a small team and take ownership of tasks
Self learning skills to get sufficient knowledge of Collabora's services and systems
Good English language skills (both verbal and written)
Ability to work and communicate in an online distributed environment
