We’re looking for a Procurement & Office Operations Manager to support our Finance team.

This is a great opportunity for Chicago-based candidates with a willingness and desire to work onsite. Primary work environment is onsite within a Chicago office setting in River North. Opportunity for remote work 1-2 days per week.

Position Summary

Coalfire is seeking a highly organized professional with the ability to multitask to join our team as Procurement & Office Operations Manager. As a member of the Finance team, this role is pivotal in supporting the development and implementation of sourcing strategies and processes and reports to the VP Procurement who is a direct report to the CFO. Procurement & Office Operations Manager focuses on the indirect spend categories, specifically general and administrative vendors, with an emphasis on the meeting and event process and related vendors. The position will partner with cross-functional business leaders to identify, prioritize and maximize value capturing opportunities and manage and update contracts for indirect purchases, including ownership of terms, conditions and legal compliance, all while serving as a liaison between finance, legal, vendors, and business partners. Additionally, the candidate spends about 25% of their time on facilities and office tasks by supporting activities related to and the needs of the current offices - Atlanta, Chicago, Dallas, San Antonio and South Denver and managing the strategic direction of shared/ temporary workspace needs.

What You'll Do

  • Accountable for the execution of Procurement strategies for Operational Indirect spend categories across general and administrative functions.
  • Owns the meeting and event process including the sourcing, management and related workflows through procurement, finance, legal and the business teams.
  • Manage stakeholder relationships with various cross functional leaders with the goal of becoming a trusted advisor in supporting their supply decision making.
  • Interface with Procurement peer and internal stakeholders to identify category opportunities and develop sourcing strategies to maximize value for the business.
  • Support the administration of travel and expense tools including Chrome River and Egencia.
  • Work closely with Finance FP&A team to ensure alignment and use of appropriate resources and liaises between Finance as the business teams as necessary.
  • Serve as an influential change agent to the broad stakeholder community as it relates to sourcing, travel and the contract execution process.
  • Facilities related responsibilities: Project manages the opening or closing of physical office space, key contact for current local Office Ambassadors for security, access, physical space issue resolution and supply replenishment. Understands all office leases and monitors for renewal/non-renewal and other key lease terms. Serves as key contact and host for local Chicago office meetings and events.
  • What You'll Bring

  • Bachelor's degree in Supply Chain, Procurement, or Business-related degree programs
  • 3+ years of procurement experience, indirect with emphasis in corporate travel, meetings and events preferred
  • 2+ years of experience of office management / facilities tasks, or related project management skills
  • Evidence of having the qualifications of someone who is highly organized
  • Proven track record to project manage to successful outcomes: multiple priorities, tasks, contracts and projects; ability to multitask while staying focused is critical for success
  • Ability to thrive in a fast-paced, dynamic and deadline driven environment
  • Champion best practices, tools, and commitment to provide quality procurement products / customer service
  • Excellent communication and interpersonal skills, written and verbal, to facilitate change management with colleagues and key contacts including the ability to build and maintain relationships across all levels of the organization
  • Excellent negotiating skills
  • Critical thinker with evidence of building scale within an organization
  • Highly self-motivated with a strong internal drive for results

  • Experience using a P2P system, CLM system and an Expense Management system is preferred

A reasonable estimate of the compensation range for this role is $71,000 to $122,689 based on national salary averages. The actual salary offer to the successful candidate will be based on job-related education, geographic location, training, licensure and certifications and other factors. You may also be eligible to participate in annual incentive, commission, and/or recognition programs.
