The Role:

An integral part of the global Celonis Workplace Services (WPS) team, the Senior Coordinator works closely with the EMEA WPS Lead based in Munich, and various internal stakeholders across the region.

Leading a small team of contractors, your main task will be to manage operations in our London office with 110 seats, providing an excellent service level to our employees, on time and on budget. 

In addition, you will remotely oversee the operations in our offices in Amsterdam, Copenhagen and Stockholm with occasional travel to these sites.

Your responsibilities include but are not limited to:

London Office

  • Deliver excellent service levels across all relevant areas, with special focus on a great employee and customer experience
  • As first point of contact for employees, show continuous presence (at least 4 days a week during regular business hours) and ownership for the office
  • Manage the provision of our employee snack and beverage program in collaboration with our external vendors
  • Support internal and external meetings & events in the office, including catering, space setup and logistics
  • Oversee facility operations including building maintenance
  • Maintain a strong relationship with the landlord for building maintenance, front of house and security
  • Ensure cleanliness and a show-ready office appearance and functionality
  • Ensure compliance to health & safety and other required local guidance
  • Supervise the execution of services or deliveries by third-party suppliers
  • As part of our Site Management team, work with site and HR leads to develop and drive the office strategy in alignment with company strategy
  • Partner with IT and HR to deliver a great onboarding experience for new hires
  • Autonomous management of the annual operational budget for all sites within your remit, including creating Purchase Orders and invoice handling
  • Utilization and attendance tracking for all sites

Amsterdam, Copenhagen and Stockholm Offices

  • Remote management of these 3 small offices (10 - 35 seats)
  • Regular communication and close collaboration with office providers and external vendors like cleaning and snack suppliers to ensure highest service levels in alignment with Celonis WPS delivery guidelines
  • Stakeholder Management - regular conversations with the local site leads to understand the needs of the local population and drive the site strategy
  • Communication to the local teams about important office updates
  • Support compliance with Health & Safety and other local guidelines by conducting at least one annual site visit and assessment

The qualifications you need:

  • 4+ years of operations and office management experience, preferably in a fast-paced tech environment, hotel, or professional services environment with a focus on facility management
  • Personal awareness, great communication (fluent in English, oral and written) and relationship management skills
  • A passion for providing services with a sense of humor and an eye for detail
  • Strong administrative, time management and organizational skills
  • Ability to operate calmly under pressure and manage competing priorities
  • Excellent IT and AV skills
  • A strong financial understanding & ability to manage a budget autonomously
  • Understanding of continuous improvement methodologies
  • Self-starter, creative, enthusiastic, committed and determined
  • Able to autonomously develop and implement solutions, to find cost savings or to develop creative ideas - according to the respective need
  • Charismatic team player with the ability to coordinate themselves
  • Reliable, accurate and detail-oriented with a proactive and professional can-do attitude 
  • Ability to present yourself with a smart and professional appearance at all times
